Approved — the client can watch these
EDITOR — they drop finished reels in XC Footage — Received / [client] / Delivered. Approve → it appears on the client's Results tab. Send back → it moves to "Sent back" with your note.

Deletes them from the roster and their studio code. Their drop folder is removed only if it's empty. The vault is never touched — every clip they ever sent stays in Drive.

Studio code and phones
The code they type, and every phone signed in. Signing a phone out keeps everyone else in. A new code stops the old one working for new phones; phones already in stay in.
Remove a person
Someone left? This takes their name off, signs out every phone they used, and if the client still has the old short code, makes a new one. Anyone who knows the current code can still sign in, so make a new code too if you need them fully out.
Clips picked but never sent
A phone said these were coming and they never arrived, so their shots keep saying "Don't delete anything yet". Clear them once you know they're not coming.
Files set aside
These came in named like clips but are really programs or documents. They're private in the client's ⚠ Set aside folder in the vault. Don't open them. Once you've looked, clear the hold so the shot can say safe to clear.
Works alone
For a one-person business. They sign in with the studio code only: no name list, no owner PIN, and they get the owner view (results, history, documents).
Owner access
Give the business owner their own PIN — they see progress, results and history, and can manage their team. They can't flag redos or see other clients.

Paste this client's Timeliner portal link. It becomes the "Your reels" button on their Results tab.
Rhythm — feeds the studio calendar
Film day puts their weekly shoot on the calendar and sets when scripts are due. Tier sets how many reels a week and the delivery cap. Billing day marks invoice day.
WhatsApp — automatic messages
Sent from the XC Media number, 0494 798 319, only once they've said yes. 7am to 9pm, four a day at most, each thing once. Their replies land in the WhatsApp Business app. Switching on sends them the welcome message.

Before every shot: the five rules

Wipe the lens on your shirt.
Ten seconds. Fixes more "blurry" footage than anything else on this page.

Find the window.
Daylight from a window beats every overhead light and every filter. Light on the subject, not behind it.
3
Hold it upright. Both hands.
Portrait, elbows against your body. If you can lean the phone on something, do.

Get closer than feels normal.
Then closer again. Never zoom, it makes it blurry. Move your feet.
5
Count it out. Then stop.
Every shot says how long. Count in your head, stop on the number. Long is fine; short can't be fixed.

Uploading
Send clips from ↑ Upload, or from the end of Film mode. They keep sending with the phone locked or other apps open. Just don't swipe XC Studio away until each one says sent ✓Keep this page open until each one says sent ✓
Use the Google Drive app, not the browser. It keeps uploading in the background, even with the phone locked
Clips disappear from the folder within a few minutes. That's XC receiving them, not a failure
Tick the shot once it's filmed, then send its clips. It isn't finished until each clip says sent ✓
Never delete footage off the camera or phone until the app says XC has it. Each shot shows XC has the clips you sent once they've all arrived. Filmed extra takes? Send them too before you clear anything
Something won't send, or your phone says it's full? Message XC
When in doubt: slower, closer, stiller.

Keep this screen open, on Wi-Fi if you can. If the phone locks or you switch apps it pauses, and picks up where it stopped when you come back. Don't delete anything until a clip says sent ✓.
You can lock the phone or use other apps. Your iPhone keeps sending, faster on Wi-Fi and plugged in. Just don't swipe XC Studio away until every clip says sent ✓, and don't delete anything until then.
Which shot is this for?
Tap the shot and its Drive folder opens. Drop the clips straight in. Each row shows what has already landed, so nothing gets missed.
Flag for redo
Pick the reason — it lands on their card word-for-word. Fix first, compliment second, never a telling-off.
